Create and Modify Tasks

The Tasks feature in the DiliTrust Entities module allows users to manage and track key activities related to legal entities. This functionality helps streamline operations by assigning responsibilities, setting deadlines, and organizing recurring legal tasks across the organization.



To access the Task Manager section, click on the top right icon displayed in the image below.





Once landed on the page, you will have the options to visualise and manage your existing tasks, divided into: Standard - Recurring - Review - Workflows. 



The table contains many task management functionalities, that we'll cover in this guide.


Let's start by creating a Task !


Add a Task




Click on "Add a Task" from the Task Manager to create a new task. A pop-up window will appear where you can fill in the necessary information:

  • Status: Define the task’s current progress (e.g., Open, In Progress, Completed).

  • Priority: Select the urgency (e.g., Low, Medium, High).

  • Title: Brief name summarizing the task.

  • Description: Detailed explanation of the task’s objective.

  • Assignee: Select a user responsible for completing the task.

  • Type: Choose the task type (e.g., Reminder, Legal Filing, Review).

  • Related Content: Link to specific entities or documents.

  • Due Date: Set a deadline.

  • Recurrence: Set up repeating tasks (e.g., monthly board meetings, annual filings) -- if configured, the task will be feasible under the Recurring tasks sub-menu.


N.B. Most of these fields (like Status, Priority and Type) can be customised by ad Admin in the Configuration > Data Customization section.


Recurring Tasks


You can automate periodic obligations by setting your Task as Recurrent. This is especially useful for compliance-related activities like tax filings, statutory meetings, or report submissions.

You will be able to visualise all your Recurring tasks under the dedicated menu.





Tasks in the Overview


From both the Company and Individual overviews, there is a dedicated section to visualise assigned tasks. This allows users to quickly see all tasks related to the selected entity or person, including their status, priority, and due dates, ensuring full visibility and easy tracking within the context of the record.



Task Table Functions


In this section, we'll provide a detailed overview of all the functionalities available within the Tasks feature, including how to:

  • create notifications
  • assign permissions
  • visualize tasks
  • duplicate tasks


Permission (Admins)


From the table It is possible to easily set permission on Access and Edit to Tasks. The platform uses the Keywords:

  • Everybody, Except
  • Nobody, Except



 To define permissions on users. Admins can control task access and assignment rights via this platform’s easy permission management interface.


Notify


Every time a task is created, a pop up will appear proposing to notify the ownser/s of the Task.

Optionally, from the table view, it is always possible to send an email to any recipient, containing per object the content of the Task. It is also possibile to customise the subject and message sent to the recipients.



Duplicate


The Duplicate feature allows you to quickly create a copy of an existing task. 

When duplicating, a pop-up similar to the task creation form appears—however, all fields are pre-filled with the original task’s data except for the Priority, which must be manually selected. This is useful for replicating recurring or similar tasks across different entities or timeframes without re-entering all the details.



Visualize


in the table, click on the Task Title to open the detail of it and eventually edit its configuration.



Review Tasks


You can configure the platform to automatically create Review-type tasks when specific operations occur—such as the creation of a new company. These tasks can be pre-assigned to a designated user and set with a due date calculated relative to the triggering event (e.g., 7 days after creation). This ensures timely follow-up and oversight on key actions performed in the system.



Workflows


The Workflows feature is designed to help automate and structure task management across the platform, ensuring consistency and efficiency in recurring processes. Workflows can be created and applied to various content types, including:

  • Companies

  • Individuals

  • Documents

  • Litigations

  • Contracts




Creating a Workflow


To Create aWorkflow, click the "Add a Workflow" button on the top right of the Workflow Tab menu.


When creating a new workflow, users can:

  • Assign a name to the workflow for easy identification.

  • Select the target content type (e.g., companies, documents).

  • Enable the option to automatically apply the workflow to each newly created item of the selected content type. This ensures that tasks and processes are triggered without manual intervention.



Defining Steps and Tasks


A workflow is structured around steps, which represent stages in a process. Each step can include one or more tasks, executed either simultaneously or in order, depending on your workflow design.

Tasks within a step can be fully configured, including:

  • Title and description

  • Assignee

  • Due date (fixed or relative to event)

  • Type (e.g., review, approval)

  • Related content


Click on the edit button close to the Task to customise its content like in a classical creation of a Task


Tasks Outside of Steps

In addition to structured steps, you can also add standalone tasks that exist outside of any step. These are useful when a task does not logically fit into a predefined phase but still needs to be part of the overall workflow.


Use Case Example

For example, a workflow applied to new company records might include:

  • Step 1: Initial Review

    • Task: Verify incorporation documents

    • Task: Assign legal representative

  • Step 2: Compliance Setup

    • Task: Schedule statutory filings

    • Task: Register company with local authority

  • Standalone Task: Notify finance team of new entity

This structured yet flexible approach enables teams to design workflows that match internal procedures while benefiting from automation and centralized task tracking.
