The DiliTrust Entities Platform offers a plugin to create, track and manage all Delegations of Authority of your organization.
N.B This feature is separated from the rest of the standard entity module and has to be activated to be used.
In this article learn about:
Faculties Library
To start using this feature, navigate to “Delegations” in the left menu bar and select Faculties Library.
Here, it is possible to review all faculties one can attach to a delegation, modify and adjust them.
By clicking on “Add a Faculty” you will be able to insert your powers defining a title and a description.
On the action column you will always be able to edit or delete your faculties.
Delegation Menu
If you navigate into “Delegations” menu on the side bar, you will be able to manage your existing delegation, as well as creating others. The tabulation gives you the options to filter, edit and export your views like other tabulation menus in the DiliTrust Entities Module.
To create a Delegation of authority, select “add a Delegation” and follow the instructions.
In this screen you’ll have to define:
Basic Information
1. Company: select from your company list which one this delegation is attached to.
2. (Optionally) The Delegator who’s entitled to delegate its authority.
3. The Delegatees, the recipients of the powers we’re defining during the operation.
4. A starting date and an (Optional) end date of the delegation.
Faculties
In this section you will be able to select the faculties already defined in the faculties library or, optionally, specify the faculties by selecting a preset Profile, already containing the list of powers for a given role.
Attached documents – Extra information
As is most of DiliTrust Entities, you will be able to attach documents to delegations, as well as extra information that a DiliTrust Admin can configure Under (Configuration > Custom Fields).
Notifications
For a user, it could be challenging to track the status of every delegation faculty over time. Similarly, it is important to notify the recipient of a delegation if there is a modification of the power it is entitled to.
For this reason, we created a fast way to notify recipients, as well as a fast way to setup notification triggers when certain conditions are met, for example when a faculty has an expiration date.
Profiles
As already mentioned in the guide, it is possible to create Delegation profiles, that group together faculties, to ease the use of the delegation feature.
Go under “Delegation Profiles” to setup a profile.
Select “Add a profile” to create one, define a title ( in this example “CFO”) and attach all faculties to this role.
Delegation View From Entities
Once delegations have been defined for either Companies or Individuals, they can be easily visualized within the dedicated section of the corresponding entity’s profile. This section provides a clear overview of all active and past delegations, enabling users to track who has been granted authority, over which areas, and for what duration.
Chain of delegation
Lastly, from any table view of delegation is possible, by clicking onto the graph action button on the right, to review the Chain of Delegation, for a particular Faculty.
In this examples we review how, both Annette Raynolds and Henry Howell, gave Authority to John doe to access accounts information, for 2 separate delegations, and how this one extended his power to Giacomo Noya.
